Is Your Property Manager Charging Your Tenant an Extra 3%–5% Every Month—On Top of Rent?
Some property management companies charge the tenant a separate monthly administrative fee equal to 3%–5% of the rent. It is not additional rent for the owner. It is an added charge paid by the tenant to benefit the property management company.

The owner still receives only the agreed $2,500 rent. The additional $75–$125 generally goes to the other property management company.
No fee automatically causes a vacancy, and market results vary. The problem is simple: increasing the tenant’s total monthly cost can make an owner’s rental less competitive without increasing the rent the owner receives.

Percentage Placement Fee

Routine Maintenance Fee
Ordinary maintenance coordination is included with ongoing management, without a routine per-work-order coordination charge.
Routine Vendor Markup
000 Property does not increase ordinary third-party repair invoices through a routine vendor markup.
Tax-Preparation Fee
No separate management-company fee simply for preparing the ordinary year-end owner tax documentation.
Cancellation Penalty
No separate early-termination charge. The management agreement requires 60 days’ written notice for an orderly transition.

Both examples assume twelve occupied months and use only the charges shown below. Repairs, legal expenses, renewals, optional services, and other property costs are not included.

Owners Still Pay the Actual Costs of Owning the Property

The standard $500 reserve is owner money held in the property account for authorized expenses—not a fee paid to 000 Property.

What is included in the management fee?
Our monthly property management fee covers the ongoing, day-to-day management of your occupied rental property. This includes rent collection, tenant communication, maintenance coordination, lease enforcement, owner statements, financial reporting, and access to your owner portal. The management fee is charged only while the property is occupied—there is no monthly management fee while it is vacant. Tenant placement, lease renewals, and property inspections are separately priced services and are clearly disclosed upfront.
Do you charge an onboarding fee?
Yes. A one-time onboarding fee applies when management begins. For a vacant property, it covers property and account setup and tenant placement when needed, including marketing, standard photography, screening, leasing, and move-in coordination. For an occupied property, it covers the management transition, document and lease review, account setup, deposit and ledger verification, portal setup, and tenant onboarding. The current fee is shown in the pricing section above.
Can you take over management of my property if it is already occupied or currently managed by another company?
Yes. We can assume management of an occupied rental property, including one currently managed by another property management company. After the owner properly ends the existing management agreement and authorizes the transition, we coordinate directly with the outgoing manager to collect and transfer the available property and tenancy records.
We review the lease and addenda, tenant information, payment ledger, security-deposit records, inspection reports, maintenance history, notices, keys, HOA documents, and other relevant records. We then establish the property and tenant accounts, coordinate the transition to the new payment and maintenance portals, and provide the residents with updated management instructions.
A one-time onboarding fee applies to the occupied-property transition and covers the document review, account setup, deposit and ledger verification, portal transition, and tenant onboarding. The current fee is shown in the pricing section above.
How are owner payments sent?
Owner payments are sent monthly by ACH direct deposit, typically on or around the 15th, provided rent has been received and cleared. After the payment is initiated, it may take several business days to appear in the owner’s bank account depending on the receiving bank, weekends, and banking holidays. Applicable management fees, maintenance expenses, owner reserves, and other authorized charges are deducted before the payment is issued.
Do I approve maintenance repairs?
We keep owners involved in all maintenance decisions. Each management agreement establishes an authorization limit that allows us to address routine repairs promptly without unnecessary delays. For expenses above that limit, we generally contact the owner for approval before authorizing the work. Emergency, safety, habitability, or property-protection issues may require immediate action, in which case we will proceed as necessary and notify the owner promptly. All maintenance requests are reviewed and screened before a vendor is dispatched which helps eliminate the need to send out vendors on every work order.
How are security deposits handled?
Security deposits collected through our management are deposited into the brokerage’s designated property-management trust account and maintained separately from business operating funds. This handling is consistent with Arizona law governing broker-managed property funds, including A.R.S. §§ 32-2174 and 32-2151. At the end of the tenancy, the deposit is applied or refunded in accordance with the lease and the Arizona Residential Landlord and Tenant Act. Any lawful deductions are documented, and the tenant receives an itemized disposition and any remaining refund within the timeframe required by A.R.S. § 33-1321.
Is there a cancellation fee?
No. We do not charge a cancellation or early-termination fee. Owners may terminate management services by providing 60 days’ written notice in accordance with the signed property-management agreement. This notice period allows time to coordinate tenant communications, transfer property records and funds, address outstanding invoices, and complete an orderly transition. Final records and accounting are provided in accordance with Arizona law and the terms of the management agreement.
Do you work with out-of-state owners?
Yes. We work with property owners located throughout the United States and overseas and provide the local oversight needed to manage Arizona rental properties with confidence. Owners receive convenient portal access, monthly financial statements, ACH payments, maintenance updates, inspection reports, and direct communication wherever they live. From tenant relations and rent collection to maintenance coordination and lease compliance, we serve as your trusted local point of contact.
How often are inspections completed?
We complete a rent-ready/move-in inspection before a new tenancy and a move-out inspection after the tenant returns possession. During the tenancy, we recommend at least one occupied-property inspection each year to help confirm the home is being reasonably maintained, identify visible maintenance concerns, and address potential issues before they become more costly. Annual inspections are scheduled with proper notice to the tenant and include a documented report with photos for the owner. Additional inspections may be requested when needed.
Are there any optional or separately priced services?
Yes. The monthly management fee covers routine, ongoing property management, including normal maintenance coordination. Separately priced services may include initial onboarding, subsequent tenant placement, lease renewals or rewrites, occupied-property inspections, premium photography, project coordination, and extraordinary services outside normal management duties.
Attorney fees, court costs, service fees, repair expenses, and other third-party costs remain the owner’s responsibility when applicable. Current standard fees are shown in the pricing section above. The signed Property Management Agreement and applicable addenda control all services and charges.
