From tenant placement to lease termination, here’s what owners ask us most.
How are tenants screened?
We use a reputable third-party screening provider to review each applicant’s credit, income, employment, rental history, eviction records and criminal background where permitted by law. All applicants are evaluated consistently using established rental criteria and applicable Fair Housing requirements. Thorough screening helps reduce risk and supports better leasing decisions, but no screening process can guarantee a tenant’s future conduct or performance—even a well-qualified applicant can later encounter circumstances that affect the tenancy.
When do owners get paid?
Tenant payments are collected and processed through our broker’s accounting system and trust account in accordance with Arizona requirements. Owner distributions are generally processed around the 15th of each month, subject to cleared funds, account balances and any outstanding property expenses. Owners also receive a monthly statement showing rental income, expenses, payments and account activity so they can easily track their property’s finances.
Who handles maintenance?
We typically coordinate rental property maintenance through qualified vendors serving Gilbert and Arizona’s East Valley, although some owners prefer to use their own vendors or handle certain repairs directly. Tenants submit maintenance requests through our online portal, and when appropriate, we guide them through basic troubleshooting before dispatching a vendor. This often resolves simple issues and helps owners avoid unnecessary service-call charges. Except in emergencies, owner approval is obtained when a repair is expected to exceed the maintenance authorization threshold established in the Property Management Agreement. We keep owners informed of maintenance activity and do not add markups to vendor invoices.
Do I approve repairs?
Yes and no. For routine repairs below the maintenance authorization threshold established in the Property Management Agreement, we generally coordinate the work without waiting for separate owner approval, although instructions can be customized for each owner. For repairs expected to exceed that threshold, we communicate with the owner and coordinate with the tenant and vendor before proceeding. In an emergency—such as active flooding, a suspected gas leak, fire or electrical hazard, loss of essential cooling during extreme heat, or another condition posing an immediate threat to people or the property—we act promptly to limit damage and protect the occupants without delaying service while awaiting approval. Owners are kept informed throughout the process.
What is your management fee?
Our property management pricing is designed to be straightforward and transparent. Because every rental property and owner may have different service needs, please visit our Prices page for our current management fee, tenant-placement pricing and optional services. All fees and compensation are negotiable and are confirmed in the Property Management Agreement.
Do you charge marketing fees?
We do not charge a separate fee for standard rental property marketing. Our tenant-placement service includes professional listing creation, MLS exposure, rental website syndication, applicant coordination and lease preparation. Some property management companies price these services separately, which can substantially increase the total cost of placing a tenant. Can I access reports online?
Yes. Property owners receive secure, 24/7 access to an online Owner Portal where they can review tenant payments, view monthly owner statements, access inspection reports, monitor property-related income and expenses, and manage ACH payment information. To access the portal, select Login from the website menu and then choose Owner Portal.
How do lease renewals work?
Approximately 30–60 days before a lease expires, we begin communicating with the tenant to understand their plans and encourage a timely renewal. We review current rental-market conditions, discuss recommended rent and lease terms with the owner, negotiate approved terms with the tenant, and prepare the renewal documents for electronic signature. Our goal is to retain qualified tenants for many years whenever continued tenancy is in the owner’s best interest. A lease-renewal fee is charged only when the tenant completes a renewal. What happens if rent is late?
We take late and unpaid rent seriously and act promptly in accordance with the lease and Arizona law. When rent remains unpaid after the due date, we first verify the tenant’s ledger and check for pending payments. We then contact the tenant and, when appropriate, deliver Arizona’s written Five-Day Notice to Pay Rent or face termination of the lease.
During the five-day notice period, we continue communicating with the tenant, document all activity and prepare the necessary records in case legal action becomes necessary. If the full amount required to cure the default is not paid before the notice expires, we coordinate with our retained Arizona eviction law firm so an eviction action can be filed on the next legally permitted business day, subject to attorney review.
Our established relationship with an experienced eviction law firm helps avoid delays associated with searching for an attorney after a problem occurs and supports an organized, consistent process. Owners remain responsible for attorney fees, court costs and other eviction-related expenses as provided in the Property Management Agreement and applicable law. Although no outcome or timeline can be guaranteed, our goal is to resolve nonpayment quickly and protect the owner’s property and rental income.
Do you coordinate evictions?
Yes. When an eviction becomes necessary, we coordinate the process from the initial lease documentation and required notices through communication with our retained Arizona eviction law firm. The attorney handles the legal filing and court process, while we organize tenant ledgers, lease documents, notices and other records; communicate with the owner and tenant; provide property-management documentation; and coordinate access or property recovery when legally authorized.
Having an established eviction attorney relationship allows us to begin coordination promptly and helps prevent delays caused by searching for legal representation after a problem arises. Owners are kept informed throughout the process and remain responsible for attorney fees, court costs, service fees and other eviction-related expenses as provided in the Property Management Agreement. Eviction outcomes and timelines depend on the individual circumstances and court process and cannot be guaranteed.
How often are inspections completed?
We recommend completing the first occupied-property inspection approximately six months after a new tenant moves in, followed by at least one inspection annually. These documented inspections help identify maintenance concerns, confirm that the rental is being reasonably cared for and give owners a clearer understanding of the property’s condition. Additional inspections may be requested when needed; current inspection pricing is available on our Prices page.
We also perform periodic exterior drive-by observations from the public street. These observations can identify visible concerns involving landscaping, exterior condition or apparent lease violations, but they are not a substitute for a complete interior inspection.
